Privacy Policy
Last updated: July 5, 2026
Smart Clouds ("we", "us", "our") respects your privacy and wants you to feel comfortable visiting this website. This Privacy Policy explains what personal information we collect, why we collect it, and the choices you have. It applies to smartclouds.co and to the forms, newsletter and tools available on it.
Information we collect
We collect information in a few different ways, depending on how you interact with the site:
- Information you give us directly, such as your name, email address and phone number when you fill in the contact form, subscribe to our newsletter, or ask a question through the Ask AI tool.
- Information collected automatically, such as your IP address, browser type, device information and the pages you view, gathered through standard server logs and analytics.
- Information from cookies and similar technologies, described in the section below.
We do not knowingly collect payment card details through this website. If you become a client, payment information for your project is handled through a separate invoicing process, not through this site.
How we use your information
- To respond to messages sent through the contact form and to discuss potential projects with you.
- To send the weekly newsletter to subscribers who opted in, and to stop sending it once someone unsubscribes.
- To generate answers through the Ask AI tool and improve how well it understands common questions about our Services.
- To understand how visitors use the site, so we can fix problems and improve pages that are not working well.
- To meet legal, accounting and security obligations, and to protect the site against fraud or abuse.
The Ask AI tool
When you type a question into the Ask AI tool, that question is sent securely to a processing service so an answer can be generated and shown back to you. We use these questions only to provide the answer and to see, in general terms, what visitors are asking about, so we can keep the site helpful. Please avoid including sensitive personal details in a question you type there.
Cookies and similar technologies
Cookies are small text files stored on your device. We use them, and similar technologies, to keep the site working correctly, remember basic preferences, and understand how visitors move through the site so we can improve it. Most browsers let you clear or block cookies through their settings. If you turn cookies off entirely, some parts of the site, such as forms, may not work as smoothly.
How we share information
We do not sell your personal information. We share it only in these situations:
- With service providers who host our website, send our newsletter, or run the analytics and automation tools behind the scenes, and who are only allowed to use your information to provide those services to us.
- If required by law, such as in response to a valid request from a court or regulator.
- If Smart Clouds is ever involved in a merger, acquisition or sale of assets, in which case information may be transferred as part of that transaction, subject to the same protections described here.
How long we keep information
We keep personal information only for as long as we reasonably need it for the purposes described above, for example while you remain a newsletter subscriber, while we are discussing a project with you, or for as long as we are required to keep records for legal or accounting reasons. After that, we delete or anonymize it.
Your choices and rights
You can unsubscribe from our newsletter at any time using the link in any email we send. You can also ask us to tell you what personal information we hold about you, correct it, or delete it, subject to any legal reasons we may need to keep certain records. Depending on where you live, you may have additional rights under laws such as the Personal Information Protection and Electronic Documents Act (PIPEDA) in Canada, the GDPR in the European Union and United Kingdom, or state privacy laws in the United States. To exercise any of these rights, just get in touch using the details below.
Keeping your information secure
We use reasonable technical and organizational measures to protect the information we hold from loss, misuse or unauthorized access. That said, no method of transmission over the internet is completely secure, so we cannot guarantee absolute security.
Children's privacy
Our website and Services are intended for businesses and individuals over the age of 18. We do not knowingly collect personal information from children, and if we learn that we have, we will delete it.
International visitors
Smart Clouds is based in Ontario, Canada, and the information we collect is generally processed and stored in Canada, though some of the service providers we rely on may process information in other countries, including the United States. By using this website, you understand that your information may be transferred to and processed in a country other than your own.
Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our practices or for legal reasons. When we do, we will update the date at the top of this page, so please check back occasionally.
